A patient recruitment agent for practices and clinical trials.
Patient recruitment fails in the same place whether the goal is a booked consult or an enrolled participant: the person raises a hand at night and hears back two days later. A patient recruitment agent closes that gap. It replies in 60 seconds, qualifies, books, and hands off to a person when it should.
Built in-house on the Anthropic API, deployed in your own systems.
Two modes, one agent
| Practices and telehealth | Clinical trial sites, sponsors, CROs | |
|---|---|---|
| First reply | Within 60 seconds: thanks, names the service, asks the insurance question | Within 60 seconds: thanks, names the study, offers a two-minute pre-screen |
| Qualifying step | In-network check from your verified payor list, self-pay pricing | Your protocol's inclusion and exclusion questions, in plain language |
| Booking | Consult or first visit on your scheduling calendar | Screening call on the site coordinator's calendar, pre-screen answers attached |
| If not a fit | Routes to the right service line or a polite close | Thanks them and, with consent, keeps them for future studies |
| Follow-up | Reminders, no-show recovery, reactivation | Reminders, visit prep, re-engagement for the next protocol |
| Measured to | Completed visits and cost per new patient | Randomized participants and cost per randomized participant |
What it never does
Gives clinical advice, assesses symptoms, tells someone they are eligible for treatment, or makes promises about a study. Symptom language stops the agent and routes the thread to a named person, with scripted safety language when appropriate. For trials, every message the agent can send is part of the IRB-approved recruitment materials.
Why sites and practices lose recruits
Interested participants and prospective patients are perishable. Most organizations route inquiries to a coordinator inbox or a front desk that works business hours, so the evening inquiry waits until morning and the person has moved on. The agent is not smarter than a good coordinator. It is just there at 9 PM, every night.
How it fits with campaigns
The agent works on the inquiries you already get, and it works best behind campaigns built to create them: clinical trial patient recruitment for sponsors and sites, and patient acquisition for practices and telehealth. See it handle a real-feeling conversation, including a symptom handoff, on the transcripts page.
Compliance
HIPAA-eligible infrastructure with a BAA for patient data. TCPA consent and TCR registration before any text. No PHI in ad platforms. Pre-screen data handled under your protocol's data plan. The agent identifies as your organization and never claims to be human.
