How do I reactivate lapsed patients?
Segment the list (unbooked inquiries, no-shows, lapsed 12 months, seasonal), then send short, condition-free messages that lead with ease and availability, by text where consent exists and otherwise by email, with a one-tap booking link.
What should a patient reactivation email say?
That it has been a while, one thing that makes returning easier (new hours, telehealth, a new provider), and a link to book. No condition references, no guilt, no manufactured urgency.
Is it HIPAA compliant to text patients about appointments?
Appointment reminders and recalls are generally permitted under the practice's policies when message content avoids condition and treatment details and the patient has consented to texts. Review with your compliance lead and keep PHI out of message bodies.
How often should we contact lapsed patients?
A short sequence of two to three touches, then rest. A contact who ignores a full sequence should not hear from you again for about 90 days.
